We offer bespoke managed service solutions, giving clients the flexibility to have our expert teams on-site at their facilities or to outsource services to CLS laboratories.
The Role
The Laboratory Scheduler & Project Coordinator plays a critical role in ensuring the smooth and efficient operation of the microbiology laboratory. This position is responsible for planning and coordinating laboratory activities, managing sample workflows, and supporting project delivery to meet client timelines and quality standards.
Working closely with laboratory teams, quality functions, and clients, the role ensures effective scheduling, resource utilisation, and project tracking in line with GMP and ISO requirements.
Key Responsibilities
Laboratory Scheduling
Develop and maintain daily, weekly, and monthly testing schedules
Coordinate sample intake and assign work based on workload and capacity
Schedule microbiology testing (e.g. environmental monitoring, bioburden, endotoxin, water testing)
Monitor incubation timelines and turnaround times
Coordinate ad hoc activities including consumables, 5S, and housekeeping
Project Coordination
Support planning and execution of laboratory projects and testing programmes
Track milestones, deliverables, and timelines
Coordinate activities across laboratory, quality teams, and clients
Monitor progress and escalate risks or delays
Resource & Capacity Planning
Monitor analyst availability, training status, and capacity
Coordinate equipment usage and lab space
Identify and address potential bottlenecks
Client & Internal Communication
Act as a key coordination point between stakeholders
Provide updates on testing progress and timelines
Support urgent or priority testing requirements
Sample & Data Management
Track sample receipt, testing status, and reporting timelines
Maintain accurate records within LIMS or tracking systems
Ensure proper documentation and traceability
Compliance & Quality
Ensure adherence to GMP, ISO 17025, and internal quality systems
Support audits and regulatory inspections
Maintain accurate and compliant records
Continuous Improvement
Identify opportunities to improve scheduling and coordination processes
Support implementation of planning tools and system enhancements

Where You Come From
Education
Bachelor’s degree in Microbiology, Biotechnology, Biology, or a related Life Sciences discipline
Experience
Minimum 3 years’ experience in a microbiology or life sciences laboratory
Experience in GMP-regulated environments (pharma, medical device, or contract labs) preferred
Experience in scheduling, planning, or project coordination is advantageous
Technical Skills
Knowledge of microbiology laboratory workflows
Experience with LIMS or laboratory tracking systems
Understanding of GMP and/or ISO standards
Strong Microsoft Excel skills
Familiarity with project tracking tools (e.g. MS Project, Smartsheet) is beneficial
